Terms and Conditions for Purchasing

By placing an order with Maias Vintage Wholesale, you acknowledge and agree to the following terms and conditions:

  1. Understanding Our Business Model (B2B)
    We operate as a Business-to-Business (B2B) company. By buying from us, you confirm that you are not a consumer and that the items purchased are not for personal use. The products are intended solely for resale or commercial purposes. B2B transactions involve different pricing, ordering processes, and service expectations compared to Business-to-Consumer (B2C) sales. Customers are encouraged to understand and accept this before purchasing, as buying from us constitutes full agreement to our terms.
  2. Nature of Our Products
    Our clothing is vintage, second-hand, recycled, or donated items. They are not brand new, and do not come with tags or are recently manufactured. As these items are pre-owned, they may contain flaws, signs of wear, and tear. Please read product descriptions carefully before purchasing to ensure you are selecting the correct item, as our categories may have similarities.
  3. Order Processing and Acceptance
    All orders are made to order once placed. Each item is graded and checked manually by hand to ensure quality. During busier periods, there may be small delays due to high volume and order volume. We reserve the right to decline or cancel any order at our sole discretion.
  4. Pricing and Sales
    The prices quoted are considered final at the time of purchase. We do not issue refunds or exchanges if the price decreases or if a sale is announced after your purchase.
  5. No Refund Policy
    Refunds will only be provided if a mistake is made directly by Maias Vintage Wholesale. Refunds will not be granted for reasons such as change of mind, buyer’s remorse, or external circumstances.
  6. Misgrade Allowance
    Due to the manual grading process performed by staff on every item, a 5-10% misgrade allowance is possible. Minor imperfections are expected given the hand-graded inspection process. We always refund for any misgrades outside of the 5-10% allowance, as promised.
  7. Shipping and Delivery
    The shipping rate is non-refundable and applies to every purchase, regardless of whether it is a pre-order or a current order. Refunds will not include the shipping costs. Delivery times vary, with domestic shipments typically taking 1-3 business days, and international shipments up to 15 days or more.
  8. Delays and Customer Responsibility
    Any delays caused by third-party logistics providers are outside our control. Customers must understand this and exercise patience. We will assist where possible but do not have inside knowledge or influence over their operations. We will not tolerate abuse, harassment, or disrespectful behavior toward our staff or processes.
  9. Processing Refunds and Returns
    Refunds are not guaranteed and are solely at our discretion as a B2B company. They are not compulsory. Refunds may be issued if we decide it is appropriate, typically in cases of errors on our part. Refunds may take approximately 3-7 working days to process once authorized. Returned items require up to 14 days for inspection, verification, and final processing. We only provide return labels if a mistake was made by us. For returns due to changing minds, exchanges, or personal preference, the customer is responsible for covering the costs of return postage.
  10. Customer Responsibility and Care
    It is important to read the product descriptions thoroughly before making a purchase to ensure you select the correct category. Some categories may look similar or have similar titles but feature different grades or types of items. Accuracy in category selection is your responsibility.
  11. No Tolerance for Abuse
    Any abusive language, harassment, or disrespectful conduct will result in the customer being banned from further purchases.
  12. Acceptance of Terms
    Completing your purchase signifies that you have read, understood, and agreed to these terms and conditions.
Do you do handpicks?

At the moment in time we do not currently offer handpicks.

Can we visit the warehouse or collect?

Please kindly do not visit or turn up unannounced at our warehouse. Due to the nature of our business and health and safety regulations, all visits must be scheduled in advance. Anyone arriving without prior notice will be refused entry by our staff to ensure safety.

How does your grading work?

All grading is based fairly off of the exact items we receive from our supplier. The percentages and ratios are consistently the same for every customer regarding value, womens/mens items, styles etc and bales are split fairly, for example any bale is 50% mens and 50% womens then all bundles will be 50% mens and 50% womens, the same goes for an example where a bundle is 90% one brand and 10% another brand, or 30% long sleeve and 70% short sleeve. All ratios are accounted for and all bundles are always roughly the same resale value. All gems are always distributed equally between the bundles. We split and grade extensively and fairly.

General Grading

Grade A: Please understand these are second hand clothing not brand new articles and should have some wear and tear expected. No holes (tiny needle holes or pinholes are exempt and are not deemed as noticeable damage), no non-removable stains larger than a dot, no clear defects. Minimal wear and tear. Most items will have no marks whatsoever. Please note anything such as removable dirt, water dots, animal hair, floor dust, remnants of small bits of food, items being creased, inner name tags removed or written on with names etc, old smells or scents, excess fluff that can be washed and small bobbling are still acceptable as Grade A. These are considered Grade A as they are washable and removable or reflect the nature of donated clothing. Small and minor wear and tear on the inside of items or within pockets that do not affect the item's general appearance or function may still be deemed as Grade A. Zips or drawstrings with fraying or are cracked may still be deemed as Grade A unless the damage is extreme.

Grade B: Contains marks and stains that may be difficult to remove or require additional work. This includes oil, paint, bleach, dirt, or grease. May also have small but noticeable holes or snags in the fabric, broken or non-functioning zips, or zip replacements needed.

Grade C: Displays significant marks or stains that may not be removable, requiring extra cleaning or treatment. There may be large holes, tears, or snags in the fabric, along with broken, missing, or non-functioning zips needing complete replacements.

Workwear / Nascar / Jackets (e.g., Dickies, Carhartt) and Leather, and Denim items

Grade A: Stains, paint, or oil marks; may or may not be removable. Small holes, tears, light stains, or minor damage. Fully intact zips with no missing pulls. Leather may have small cracking. Denim may have creased branding logos (such as Levis) or have fading that is natural with denim. Small threads or snags in denim should be expected for second hand denim items.

Grade B: Larger marks that may be difficult to remove, such as oil, paint, bleach, dirt, or grease. Rips, holes, or snags in the fabric. Broken or missing hardware. Zips may be broken or missing pulls but remain functional. Cracking in leather, both real and faux. 

Grade C: Large sized stains or marks that may be difficult or not possible to remove. Obvious holes, tears, or snags. Significant damage to the fabric. May be best for reworks or recycled projects. Zips are non-functional and require complete replacement.

Additionally please understand that vintage clothing will have general signs of wear and tear as they are all used items of clothing and some are 10, 20, 30 years old - Grade A second hand items are not the same as Grade A brand new items.

Notable Information:

- For certain items and brands (for example Patagonia, the North Face, Carhartt and Dickies) you should expect there to sometimes be items with company logos or company embroidery - particularly the workwear categories, this is an industry wide experience as the clothes have been used prior to us obtaining them.

- Rarely but sometimes there may be items that have security tags attached, they can be removed upon a quick research.

GRADING* please refer to the grading descriptions at the bottom if this item is a Nascar Jacket, Carhartt Jacket, Dickies Jacket or Workwear Category Item as grading is slightly different for these categories. Additionally categories with specific fabrics (Leather, Faux Leather, Denim) should be expected to have more obvious wear and tear than others.

Do you ship internationally?

Yes, however shipping prices vary please enquire if you are unsure and understand that international shipping takes longer than domestic. It may be noted that customs processing times in different countries can vary and are out of our control.

Do you only sell on Pre-Orders?

No. We work on IN STOCK and PRE-ORDERS at the same time. For Pre-orders we are always updating you on our ETA of container arrival, we constantly keep in contact with every customer who has made a pre-order so you aren’t left wondering when your items will arrive. 

On our website we have a 'Pre-Order' section as well as an 'In Stock' section, all items in 'Pre-Order' are not currently in stock but are currently on their way to our warehouse, all 'In Stock' items are available right now in our warehouse and are available for next day delivery when purchased!

Sometimes, you may find the SAME ITEM is available for pre-order whilst simultaneously being in stock, this is because we have more of the items coming in (available for pre-order) whilst also having some in our warehouse ready for shipment. How do your Pre-Orders work and which ones are they?

On our website we have a 'Pre-Order' section as well as an 'In Stock' section, all items in 'Pre-Order' are not currently in stock but are currently on their way to our warehouse, all 'In Stock' items are available right now in our warehouse and are available for next day delivery when purchased!

Also, all Pre-Order items will have a 'Pre-Order' blue icon on the top of the item image, they also may sometimes have (20% Deposit) at the end of the item name if we are allowing deposits. If there is a deposit collected on a pre-order item, the remainder will be collected closer to the date of the items arriving at our warehouse and an invoice will be sent to the customer. The first line of the item description on these will clarify that it is a pre-order with an estimated dispatch date. The description will also state the cost price per item piece please ensure you read all descriptions thoroughly before purchasing. All information and ETA is stated in the pre-order item description on the listing. PLEASE UNDERSTAND DEPOSITS ARE UNIVERSALLY NON-REFUNDABLE AND THIS PROCEDURE WILL APPLY WITH US ALSO.

Do you do refunds/deposit refunds?

Unless the item is damaged or incorrect then no, and as a business to business company we are not at all required to provide refunds; therefore any return requests are handled at our own discretion and are completely up to us. This does not mean we will not refund or help you - it means we only do so when it is valid. We only cover returns postage (we can arrange this for you) only when a mistake is made on our end. If a return for any other reason than this is accepted then it is down to the customer to cover the returns packaging and cost.

To be eligible for any return you must have a valid and fair reason, you’ll of course need the receipt or proof of purchase and your items must be in the same condition that you received them, unchanged, unaltered, undamaged and unused since receiving, with tags if there were tags, and in the exact quantity of the bundle.

Please note we do keep records of what is sent out and we check all items upon return for any discrepancies, if there are any signs of inconsistency in the return compared to what was sent out then you will not be refunded.

Our mis-grade rate is very low at only 5%-10% and on any rare occasion that the mis-grades are above this margin, you will ALWAYS be refunded per mis-graded item and the issue will be rectified in whatever way possible, no customer will ever have to worry about missing out because of a mis-grade. On this note you must provide photo/video proof dependant on the situation to show us the misgrades, no refund will be processed by just complaining yet not showing evidence, this is a standard procedure.

If your return is accepted, you will have 7 days from delivery to return the item. We will inform you of our return address as well as instructions on how to send your package. Items sent back to us without first requesting a return will not be accepted.

If your return is accepted you will be issued a credit note to use on our site.

REFUNDS REGARDING PRE-ORDER DEPOSITS - Deposits for pre-orders are of course NON-REFUNDABLE. The definition of deposits state that deposits serve as a guarantee of commitment to the purchase and are non-refundable. We provide the options of deposits to compensate for our marketing costs, the time and work and resources that we already invested into our business and sales. This means that if the buyer cancels the order before the final payment is collected, the initial deposit money will not be returned to the buyer. Deposits are universally recognised as non-refundable. If you have any issues please do contact us but understand our terms and conditions beforehand, any rudeness will not be tolerated and no refunds or alterations will any longer be provided to those who have no manners.

Damages and issues

  • Please inspect your order upon reception and contact us immediately if the item is defective, damaged or if you receive the wrong item, so that we can evaluate the issue and make it right, we will always make sure we solve any issues promptly!

Exceptions / Non-returnable items

  • Unfortunately, we cannot accept returns on sale items or gift cards.

Exchanges

  • If you would like to exchange an item please contact us, if accepted the fastest way to ensure you get what you want is to return the item you have, and once the return is accepted, make a separate purchase for the new item.

Accepted Refunds

  • We will notify you once we’ve received and inspected your return, and then issue you with a credit note. If more than 15 business days have passed since we’ve approved your return, please contact us at maiasvintagewholesale@gmail.com.

What is a Mixed Bale?

Mixed bales are essential a gamble or lottery category and consists of randomised Grade A, B and C items.

PLEASE DO NOT BUY THESE IF YOU ARE NEW TO RESELLING OR HAVE NOT HAD EXPERIENCE IN RESELLING - THESE ARE NOT AN IDEAL CATEGORY FOR NEW SELLERS.

MIXED BALE VARIATION BREAKDOWN:

- Grade A/B Mixed Bales (45kg)

These are the exact same bales that you buy from other wholesalers, the same risk and luck applies wherever or whoever you purchase them from, but we just charge a cheaper price for them. 

These are well made mixed bales that are 45kg mixed bundles. Consists of a mixture of mens and womens brands (Premium included). Contains jumpers, hoodies, sweatshirts, knitwear, jackets, coats, sometimes on occasion joggers and trousers in small quantities. Contains Grade A, B and C items. Don’t buy this if you are not expecting to work on the clothes and remove stains and marks etc - these bales will contain items that require work.

These offer great value for money and you will make big profits from them.

- Grade A Mix Bales (50 pieces + 5 complimentary pieces)

These Grade A Mixed Bundles include 50 items. 5 items are added as a complimentary gift. They are great for customers who want a mix of items without having to purchase 50 items per category and are ideal for minimal cleaning/stain removal or repairs. 

You can expect to find premium and rare items inside. 

Inside you will find T-shirts, Hoodies, Sweatshirts, Trousers, Jackets etc.

Buying this bale will work out cheaper than buying the items at the original price per category and will provide you great profits!

Noteable Information

The entire contents of your mixed bale will go to you.

As many of our customers know up until our recent growth we would film every bale opening close up and provide this via WhatsApp, but due to how fast we have grown and the abundance of orders we simply do not have the time between the 2 of us to film every single bale anymore and we can only do so upon request. We will always gladly film upon request but please request immediately once the order is placed as once a bale is opened and packed per order then that bale is labelled to dispatch to that exact customer. Once a bale is opened for a customer it will belong to that customer and only that customer, this is in order to make it fair due to the nature and randomisation of mixed bales.

Please note with a video request this will push your order slightly back in the dispatch queue to allow time for prioritising dispatches and also for the filming process but it shouldn't take too long at all, please ask us for a time frame if needed.

Additionally you can have a bale sent as a full bale! If you would prefer a bale sent as a full bale this must be requested before purchasing as the cost of sending a full bale is more expensive and must be paid for, otherwise they will be sent in THREE cardboard boxes. If mixed bales are purchased in a high quantity they will sometimes be sent on a pallet, please note Gregorys do not provide us with a delivery time slot but it is usually 1-5 working days delivery and we update you as best as we can.

For our Grade A Mixed Bales the bales are absolutely superior, it is guaranteed to consist of better quality items and brands than other wholesalers mixed bales.

As stated above when it comes to mixed bales we try to make sure everyone understands its a gamble category and works like a lucky dip. Usually no matter where they are from. The more you buy the more luck you will have. They are a random selection of items and can sometimes include some damaged items, we have somewhat a bit of control over what goes in these but not exactly what goes in.
